From first configuration to daily operation — what each phase looks like in practice.
Onboarding — approximately two weeks
Praxiflo's team configures your workflows before you see a single automated task. This is an engineering-led process — you don't need to learn a configuration tool.
You provide EMR login credentials and describe your current inbox and administrative workflows.
Our team maps your EMR's specific field names, selectors, and screen layout to our automation framework.
We run initial workflows in review mode — you approve each action before it executes — to validate accuracy.
Once validated, automation is enabled incrementally as confidence builds.
Onboarding is a one-time setup fee. There is no recurring engineering cost for standard workflows.
Automation runs on schedule
Configured workflows run automatically on your defined schedule — daily, intraday, or triggered on demand. No staff action required.
Clinical inbox workflow: opens your EMR inbox, reads each document, determines type (referral, lab, imaging, admin), and writes structured data directly into the appropriate EMR fields — updating imaging results, lab values, medications, medical history — the same manual entry your staff would otherwise do.
Appointment alert workflow: scans upcoming appointments and flags issues that need resolution before the visit — outstanding balances, missing referrals, insurance exceptions, or custom patterns you define. Each flag becomes a task routed to your VA.
Every action is timestamped and logged. Nothing runs invisibly.
Automation runs in the background. Your staff is not involved until a task requires human judgment.
Virtual assistants handle exceptions
When automation encounters a task it cannot complete — a patient call, an insurance dispute, a document that needs clinical interpretation — it routes to your assigned virtual assistant.
VAs work from a structured task queue inside the Praxiflo platform. Each task includes patient context, instructions, and any data extracted by automation.
VAs log into your EMR directly using their own EMR credentials and complete the task as a trained staff member would.
Completed tasks are logged with timestamps, VA name, and any notes added during the task.
VAs are the universal fallback — any task automation cannot complete routes to a human automatically.
